The Museum of Contemporary Art Toronto Canada (MOCA) is in a defining phase of its evolution, as it moves into a landmark heritage building and advances 20 years of exhibiting, collecting and nurturing innovative contemporary art and cultural practices.

In spring 2018, MOCA will open its 55,000 square foot purpose-designed home in a former industrial space in Toronto’s Junction Triangle. The museum will function as an inclusive cultural catalyst where artists and audiences can step into a wider world of contemporary art, and be part of a global movement defined by new ideas and new forms.

The expanded MOCA will realize its vision through three major exhibitions per year accompanied by a cohesive set of complementary programs, 20+ artist production studios and a renewed commitment to the permanent collection. The institution will be unique in Toronto for putting artists and visitors at the core of its programming, while at the same time seeking international partnerships to encourage exchange and plurality.

The Finance & Operations Officer will play a critical role in supporting the Director of Finance & Administration in all areas of finance and operations. This is a tremendous opportunity for a finance and operations professional to maximize and strengthen the internal capacity of an emerging cultural institution, poised to expand its presence and global reach.


Business Planning & Finance

  • Support the planning, budget development, financial management and analysis processes.
  • Prepare and analyze monthly financial results and departmental reports, as well as regular financial reports for grantors and contributors.
  • Monitor financial results against the approved budget, and prepare commentary on variances.
  • Primary user of the accounting system; prepare supporting documentation for financial transactions and invoices and make month- and year-end adjusting entries to insure the proper allocation of revenue and expenses.
  • Work closely with the Director of Finance & Administration and senior management to prepare and update the annual budget, multi-year revenue targets and growth projections.
  • Track and provide support for accounts receivable, accounts payable, payroll, and bank account and expense reconciliation.
  • Oversee the relationship and deliverables of the external bookkeeper.
  • Maintain accurate and tax compliant payroll processing and ensure sound administration of employee related benefits.
  • Coordinate the annual audit process, liaise with external auditors and the Finance & Audit Committee of the Board of Directors; assess any changes necessary.
  • Collaborate regularly with the Development team to prepare budgets for grant applications and donor proposals.

Museum Operations

  • Oversee the implementation of MOCA’s CRM system Tessitura; act as the database administrator and supervisor, ensuring overall data integrity and design.
  • Lead the development of sales & revenue reports from Tessitura.
  • Assist with the review of all agreements and contracts, ensuring that museum objectives are achieved and compliance with all regulatory and legal requirements; oversee robust contracts management and financial management/donor reporting systems.
  • Support and ensure adequate reporting in respect of property and liability insurance, including the receipt of insurance certificates from contactors/vendors, and the implementation of a risk management program.
  • Ensure compliance with MOCA’s human resources and administration practices, including in respect of employee expense reports, use of corporate credit cards, compensation and benefits, performance evaluation, training, recruitment and onboarding processes.
  • Assist with the documentation of business policies and accounting practices, including improvements to MOCA’s overall policies and procedures manual.
  • Assist with the management of third-party consultants and vendors, including in respect of capital and IT projects.


Experience and Skills

  • Relevant post-secondary education, preferably in business, finance or accounting.
  • 2 – 4 years experience in a finance and accounting role, ideally in the arts & culture sector with knowledge of not-for-profit accounting rules and practices.
  • Knowledge of financial management, accounting standards and internal controls.
  • Accounting designation obtained or in progress.
  • Business experience managing finance and operations, ideally including human resources and IT.
  • Knowledge of laws and regulations relating to human resources, including employee benefit programs and group insurance.
  • Experience working with various levels of government, including grant applications, documentation and reporting.
  • Advanced Microsoft Office skills, including advanced Excel formulas, pivot tables, knowledge of accounting and reporting software/tools.
  • Knowledge of Tessitura or other CRM systems an asset.
  • Experience working at a multi-stakeholder not-for-profit and/or in a start-up environment is considered an asset.
