The Museum of Contemporary Art Toronto Canada (MOCA) is in a defining phase of its evolution, as it moves into a landmark heritage building and advances 20 years of exhibiting, collecting and nurturing innovative contemporary art and cultural practices.
In 2018, MOCA will open its 55,000 square foot purpose-designed home in a former industrial space in Toronto’s Junction Triangle. The museum will function as an inclusive cultural catalyst where artists and audiences can step into a wider world of contemporary art, and be part of a global movement defined by new ideas and new forms.
The expanded MOCA will realize its vision through three major exhibitions per year accompanied by a cohesive set of complementary programs, 20+ artist production studios and a renewed commitment to the permanent collection. The institution will be unique in Toronto for putting artists and visitors at the core of its programming, while at the same time seeking international partnerships to encourage exchange and plurality.

Reporting to: Visitor Experience Manager
MOCA is looking for a creative, revenue-driven Venue & Events Officer with solid experience in event coordination to establish and grow our events portfolio in the new museum space. The right candidate will be able to flawlessly execute events from start to finish, leading a dedicated in-house team and external vendors. As the primary point of contact for events, you will primarily coordinate with our in-house development, sales and marketing teams, as well as private, corporate, and community clients. Our ideal candidate has post-secondary education in hospitality management, has successfully worked on events with 500+ attendees, and has a great deal of self-sufficiency in accomplishing their duties. Our goal is to increase the number of events booked at our venue, and we hope you can help us get there.

Under the general direction of the Visitor Experience Manager, the position is responsible for producing live events for MOCA, showing and selling the space as an event venue to third-party clients, and ensuring that events both large and small are executed with a high level of professionalism and care.
- Maintain the museum calendar and client database
- Leverage the programming calendar to maximize revenue potential
- Build and adhere to an event budget for internal events to avoid project overruns
- Develop internal processes for event holds and bookings
- Own client communication, host venue walkthroughs/tours, create quotes, venue rental contracts, invoices, event agendas and work orders
- Work closely with operations/facilities to ensure that events meet or exceed standards for health and safety and comply with liquor license, municipal bylaws, and to ensure the protection of art works in the museum
- Take the lead on production and coordination of MOCA’s internal events
- Establish standard operating procedures and templates for a variety of events
- Coordinate event set up, tear down and follow-ups on MOCA’s internal events as well as third-party venue rentals
- Establish and maintain partnerships with other cultural institutions, clients, caterers and vendors to deliver and promote quality events
- Ensure a welcoming and accessible atmosphere at live events, including delivery of opening remarks as needed, and crowd control
- Co-ordinate and supervise event support staff and vendors
- Assist with the production and coordination of the MOCA Gala, the museum’s annual fundraising event
- Employ innovative engagement/interactive sales strategies for building a client base through web and social media platforms
- Work collaboratively with internal stakeholders to ensure smooth delivery of programs/events in the context of MOCA’s broader strategic goals
- Track event key performance indicators and constantly identify areas for growth and improvement
- Keep informed of new trends in events at museums and cultural institutions
Experience and Skills
- Post-secondary education in fundraising, event planning, arts and entertainment, or equivalent combination of education and experience.
- Minimum 3 years of professional experience in live event production and sales
- Detail-oriented and resourceful self-starter with demonstrated ability to take initiative and work well independently with minimal supervision, while possessing the ability to work confidently and collaboratively in a team environment.
- Proven ability to set priorities and meet to deadlines.
- Ability to multi-task in a creative, dynamic environment and adopt new processes and methodologies.
- Strong network of contacts in events, cultural and arts world
- Excellent writing and verbal skills; ability to edit and proofread;
- Demonstrated ability to work with other staff and internal stakeholders in negotiating venue access and staff resources
- Demonstrated ability to work in fast paced atmosphere with tight deadlines
- Strong public relations skills
- Confidence, discretion and tact in dealing with the clients and stakeholders
- Experience working at multi-stakeholder not-for-profit and/or in a start-up environment is considered an asset
- Demonstrated knowledge of relevant software applications (knowledge of Artifax Event & Tessitura an asset)
- Must be able to work regular evenings & weekends
- Demonstrated working knowledge of Toronto’s arts community is considered an asset
- Personal qualities of integrity, credibility, sound judgment and a keen interest in the mission of MOCA
